Users & Roles

The Users & Roles page allows administrators to review registered users, check their authentication source and activity, and manage user roles and account status.

To access this page, open Admin and select Users & Roles under Governance.

User Summary

The summary at the top of the page displays the following user counts:

  • Total: Total number of registered users.
  • Admins: Number of users with administrative roles.
  • Active: Number of active users.
  • SSO: Number of users authenticated through single sign-on.
  • Local: Number of users with local accounts.

These counts provide an overview of the users registered in AskSenseOps.

Search and Filters

Use the search field and filters to find specific users.

  • Search name or email: Search for a user by name or email address.
  • All roles: Filter users by their assigned role.
  • All statuses: Filter users by account status.
  • All sources: Filter users by authentication source.

The total number of users matching the current filters is displayed above the user table.

User Table

The table displays the available information for each registered user.

Column Description
User Displays the user's name and associated account identifier.
Source Indicates whether the account uses local authentication or SSO.
Role Displays the user's assigned role. The available role control can be used to change the role where permitted.
Last login Shows when the user last logged in.
Joined Displays the date the user joined.
Dashboards (owner/shared) Shows the number of dashboards owned and shared by the user.
Status Displays the user's current status and provides a toggle for accounts where status changes are available.

The table can be wider than the visible area. Use the horizontal scrollbar to view additional columns when needed.

Managing User Roles and Status

Changing a Role

For users whose role can be edited, use the role selector in the Role column to review or change the assigned role.

Available role options and restrictions depend on the account and the permissions of the administrator performing the action.

Managing Account Status

The Status column provides a toggle for accounts where status changes are supported. Use this control to manage whether the account is active.

Review the selected user carefully before changing a role or account status.

Authentication Sources

The Source column identifies how a user account is authenticated.

  • SSO: The user signs in through single sign-on.
  • Local: The user account is managed locally in AskSenseOps.

This distinction helps administrators identify the authentication method associated with each account.

Notes

  • Use the search and filters to narrow the user list before reviewing individual accounts.
  • User summary counts and table results reflect the users displayed by the page.
  • Role and status controls may not be editable for every account.
  • The page also displays login activity, account creation dates, and dashboard ownership information to support user administration.
